Automate your business processes with kippy and zapier.com

You probably have many internal business processes that need to be triggered when something happens e.g. an email arriving, a new calendar month, a new project starting, etc.

 

Also, the process itself is probably very time intensive. For example, copying data from an email to an internal system to a spreadsheet to a report.

 

And all this probably gets quite overwhelming, so you have to manage your tasks using a task list with reminders, due dates and follow ups.

 

Historically, systems would 'hoard' your data and it very difficult to make those business processes simpler, more efficient or automated.

 

However, nowadays, with modern cloud-based systems that are part of the collaborative ecosystem, you can automate your business processes with just a few clicks. This article, shows you how.

 

In this post, I will demonstrate how you can integrate kippy to over 2000+ apps in just a few minutes. I will assume you are familiar with the basic concepts and features of kippy.

 

For this scenario, a kippy user (Mike) will create a note relating to a KPI owned by another kippy user (Sari).

By default, kippy will send an email to Sari, informing him, that Mike has created a note for him to review. But rather than just reading an email, Sari can use the ‘collaborative ecosystem’ to automatically do an almost infinite number of things!

 

First, let’s start with a simple example and then I will discuss the limitless possibilities.

 

Sari, is the owner for many KPIs and projects. So to help keep track, he creates a task to review and respond to each note within 2 days. Also, he receives notes from many colleagues, across the world, in many different languages. So, first he has to translate them to English.

 

Let’s automate all those tasks. First, I’ll show you what the end product looks like.

 

Mike creates a note on one of Sari’s KPIs, but this time, in Arabic!

Sari goes to his Trello board and …

… Mike’s message is in Sari’s task-list, with the message translated to English and a due date of 2 days time.

 

This happened by joining kippy to trello (for managing tasks), using zapier (to join it all together).

I won’t got into the details of how zapier works, but it prides itself on being free to join, easy to set up, with no code, and just a few clicks - in summary, the integration was configured in zapier, with the following 3 steps, in just a few minutes.

 

1. The process was triggered on any new kippy Notes for any of his KPIs or Projects.

2. Zapier translated the Note description to English

3. Zapier created a Trello task with a due date of +2 days, using the kippy Note’s subject and translated description.

That's it!

 

That’s just one example of a workflow and how one action in kippy can trigger some transformations and actions in another system. However, zapier actually makes it just as easy to join kippy together with thousands of apps in millions of different ways.

Another really useful use case is to auto-populate your kippy instance with live information from your other systems.

The following example shows how to create a zap that automatically updates a specific KPI in your kippy instance, every time a new row is added to a Google Sheets spreadsheet.

 

As you can probably imagine, the zap could be triggered directly by a different system and event (e.g. from your Sales system), or you can get your info from various systems in to your Google Sheet first.

So how was this done - by using the 'New Actual in kippy' zap. 

First I created a Google Sheet with the following headings:

Then I set up a zap like so :

Now, with the zap running, every time I added a row to the Google Sheet, the KPI was automatically updated in kippy like below.
