How-to Guide

Which Kippy role to give each user?


System Owner The user who first registers to Kippy gets System Owner privileges - which allows full-access for the initial set up. For all teams, the System Owner can see/add/edit/delete KPIs, projects, milestones, scores, qualitative data, users, and teams details. The System Owner is the only one who have access to the “Settings” screen and all its tabs including see/add/edit/delete all components like Vision, Mission, Values, objectives links ...etc. Also, only the System Owner can upgrade to the Premium Plan, downgrade or request to leave. Contact us if you would like to also give another user System Owner priviliges. User Role A new kippy user added to a team with the User role - can see KPIs, projects, milestones, qualitative data, users, and teams details - for their team and and all sub-teams under their team. A User can submit draft KPIs and Projects, but will need a Manager to review and approve to make live. This is the role which will be given to give to most non-managerial staff. Manager Role A new kippy user added to a team with the Manager role - can see/add/edit KPIs, projects, milestones, scores, qualitative data, users, and teams details - for their team and all sub-teams under their team. Only a Manager can view and provide appraisals for the kippy users in their Team. An Admin can approve draft KPIs and Projects. This is the role that should be given to all managerial staff. Admin Role A new kippy user added to a team with the Admin role - can see/add/edit KPIs, projects, milestones, scores, qualitative data, users, and teams details - for their team and all sub-teams under their team. An Admin can approve draft KPIs and Projects. This role can be given to non-managerial staff who are either temporarily helping manage the Kippy instance - or to consultants or leads within teams with more detailed knowledge on how to set up and maintain Kippy - to help the Manager. KPI Owner For each KPI, any User, Admin or Manager can be set as the KPI Owner for that particular KPI. A KPI Owner is ultimately responsible for ensuring their own KPIs are up to date - and will provide evidence of progress (via notes and attachments). Project Manager For each Project, any User, Admin or Manager can be set as the Project Manager for that particular Project. A Project Manager is ultimately responsible for ensuring their own Projects are up to date - and will provide evidence of progress (via notes and attachments). Milestone Owner Each Project can have many Milestones. For each Milestone, any User, Admin or Manager can be set as the Milestone Owner for that particular Milestone. A Milestone Owner is ultimately responsible for ensuring their own Milestone are up to date - and will provide evidence of progress (via notes and attachments). How to Sign-Up & Manage Team Structure


Sign-up and create Kippy account *

  • Go to www.kippy.cloud
  • Click on “Sign up” page
  • Enter your work email address (all users should have same domain name)
  • Entre your full name, phone number (with country and area code), and Job title
  • Accept KIPPY terms and conditions, privacy and cookie policies
  • Click on “Signup” button
  • We will email you your default password (check your junk email if not received in inbox)
Note: From this moment, you are called Kippy “Owner” and can manage and access everything in your organization. Add new team under another team *
  • Click on the “Team Structure” icon in the top-left corner
  • Click on the “+” sign in the parent team box
  • Enter the new team name in the “Team name” field in the pop-up screen
  • Click on “ADD TEAM” button
Rename team name *
  • Click on “Settings” icon in top-right corner (next to logout icon)
  • Click on “Team” tab
  • Go down to “Rename team” section
  • Select “Team to rename” from current list
  • Enter new name
  • Click on “RENAME TEAM” button
Edit team strategy *
  • Click on “Settings” icon in top-right corner (next to logout icon)
  • Click on “Team” tab
  • Go down to “Edit team strategy” section
  • Select “Team to edit” from current list
  • Enter team vision, mission, and values (if any)
  • Click on “SAVE” button
Warning: Entering a new team vision, mission and value will override the organization ones. It is recommended to leave all teams strategy blank and system will automatically display the organization strategy. Delete team *
  • Click on “Settings” icon in top-right corner (next to logout icon)
  • Click on “Team” tab
  • Go down to “Delete team” section
  • Select “Team to delete” from current list
  • Click on “DELETE TEAM” button
  • Click on “DELETE” button (To confirm)
Warning: Deleting a team will delete all its contents Move team *
  • Click on “Settings” icon in top-right corner (next to logout icon)
  • Click on “Team” tab
  • Go down to “Move team” section
  • Select “Team to move” from current list
  • Click on “MOVE TEAM” button
Warning: Moving a team will move all its contents Select team
  • Click on “Change Team” drop list in top-left corner and select the desired team, OR, Click on “Team Structure” icon in top-left corner
  • Click on “person sign” under the team name inside the team box (for the desired team)
  • Wait for 5 seconds until “person sign” changes to “Location sign” and “Team Structure” icon reflect the new team name
Change team logo
  • Click on “Change Team” drop list in top-left corner and select the desired team
  • Click on the logo (on top of the screen)
  • Choose new logo file (250X25 PX or 10/1 ratio jpeg or png only)
  • Click on “SET TEAM LOGO” button
Note: All teams could have the same company logo or customized team logo. Add new user to a team
  • Click on “Change Team” drop list in top-left corner and select the desired team
  • Click on the add user icon in the right bar (3rd icon under picture)
  • Enter new user email address (must have same domain as the organization)
  • Select new user role
  • Select new user team
  • Click on “INVITE” button
Delete user *
  • Click on “Settings” icon in top-right corner (next to logout icon)
  • Click on “Users” tab
  • Go down to “Delete user” section
  • Select “User to delete” from current list
  • Click on “DELETE USER” button
  • Click on “DELETE” button (To confirm)
Warning: Deleting a user will delete all its contents Edit user *
  • Click on “Settings” icon in top-right corner (next to logout icon)
  • Click on “Users” tab
  • Go down to “Edit User” section
  • Select “User to edit” from current list
  • Click on “EDIT USER” button
  • Select new user’s role/team
  • Click on “SAVE” button
See all users and their roles in a team
  • Click on “Change Team” drop list in top-left corner and select the desired team
  • Click on the all users icon in the right bar (2nd icon under picture)
  • See all users pics, usernames, and roles
  • Click on “CLOSE” when done
Change user password
  • Click on the password icon (key) in the right bar (icon under picture)
  • Enter current password
  • Enter new password
  • Confirm new password
  • Click on “CHANGE PASSWORD” when done
Change user background color for all screens
  • Click on the brush icon in the right-top corner
  • Click on the desired color
  • Click on “CLOSE” button




How to Manage Strategy


Add and edit vision, mission, and values *

  • Click on “Strategy” icon in left top corner
  • Click on “Vision” or “Mission” or “Values”
  • Enter or change vision, mission, and values in the 3 fields in the pop-up screen
  • Click on “SAVE” button
Note: All teams under CEO team will automatically inherit the CEO VMV, however they could be overridden at lower team level Add perspective *
  • Click on “Settings” icon in top-right corner (next to logout icon)
  • Click on “Perspectives” tab
  • Go down to “Add Perspective” section
  • Click on “ADD PERSPECTIVE” button
  • Enter new Perspective
  • Enter description
  • Click on “ADD PERSPECTIVE” blue button
Note: All teams under CEO team will automatically inherit the CEO perspectives; Also No comas, full stops, quote allowed Rename perspective *
  • Click on “Settings” icon in top-right corner (next to logout icon)
  • Click on “Perspectives” tab
  • Go down to “Rename Perspective” section
  • Click on the desired perspective to rename
  • Enter new Perspective name
  • Enter description
  • Click on “RENAME PERSPECTIVE” button
Note: All teams under CEO team will automatically inherit the new CEO perspective name; Also No comas, full stops, quote allowed
Warning: Changing perspective name will affect all Kippy related components Edit perspective description *
  • Click on “Settings” icon in top-right corner (next to logout icon)
  • Click on “Perspectives” tab
  • Go down to “Edit Perspective” section
  • Click on the desired perspective description to edit
  • Enter new perspective description
  • Click on “SAVE” button
Note: All teams under CEO team will automatically inherit the new CEO perspectives description
Warning: Changing perspective name will affect all Kippy related components Delete perspective *
  • Click on “Settings” icon in top-right corner (next to logout icon)
  • Click on “Perspectives” tab
  • Go down to “Delete Perspective” section
  • Click on “DELETE” button
  • Click on “CONFIRM” button
Warning: Deleting a perspective will delete all Kippy related components Add objective *
  • Click on “Strategy” icon in left top corner
  • Click on “ADD OBJECTIVE” blue button
  • Select parent team objective (not required for top team)
  • Enter a new objective to add
  • Enter description
  • Click on “ADD OBJECTIVE” button
Note: No comas, full stops, quote allowed in objective name. No need to add any parent team objective to all CEO objectives Edit objective *
  • Click on “Strategy” icon in left top corner
  • Click on one of the following desired objective field to edit
    • Parent Team Objective
    • Objective name
    • Objective Description
  • Enter new objective details
  • Click on “SAVE” button
Note: No comas, full stops, quote allowed in objective name. No need to add any parent team objective to all CEO objectives
Warning: Changing objective details will affect all Kippy related components Delete objective *
  • Click on “Strategy” icon in left top corner
  • Click on garbage icon for the desired objective to delete
  • Click on “DELETE” button
  • Click on “CONFIRM” button
Warning: Deleting an objective will delete all Kippy related components Change Parent Team Objective *
  • Click on “Settings” icon in top-right corner (next to logout icon)
  • Click on “Objective” tab
  • Go down to “Parent Team Objective” section
  • Select “Objective to change” from current list
  • Select new Parent Objective to link the objective to
  • Click on “CHANGE PARENT TEAM OBJECTIVE” button
Warning: Linking an objectives to a new parent objective will also link all its contents Add planning rule to unlock plan time period to allow user data entry *
  • Click on “Change Team” drop list in top-left corner and select the desired team
  • Click on the unlock icon in the right-top corner (next to year)
  • Click on “ADD PLANNING RULE” button
  • Enter range dates (from date to what date)
  • Click on “APPLY” button
  • Enter reason for adding this rule
  • Click on “ADD PLANNING RULE” button
Add actual rule to unlock reporting time period to allow user data entry *
  • Click on “Change Team” drop list in top-left corner and select the desired team
  • Click on the unlock icon in the right-top corner (next to year)
  • Click on “ADD ACTUAL SUBMISSION RULE” button
  • Enter range dates (from date to what date)
  • Click on “APPLY” button
  • Enter reason for adding this rule
  • Click on “ADD ACTUAL SUBMISSION RULE” button




How to Maintain KPIs


Add KPI

  • Click on “Change Team” drop list in top-left corner and select the desired team
  • Ch eck “KPIs” radio button in top-left corner (next to Kippy)
  • Click on “Maintain” icon at the bottom of left bar
  • Click on “CREATE NEW KPI” button
  • Select the following fields:
    • Objective this KPI measuring (Team objectives list)
    • Direction (Increase is better or Decrease is better)
    • Weight (1x,2x,3x)
    • Frequency (Monthly, Quarterly, Semi-annual, Yearly)
    • Cumulative (Yes/No)
    • Owner (Team members list)
  • Enter KPI name, owner, unit, description, formula, and data source
  • Enter KPI targets (need to align with KPI frequency)
  • Click on “CREATE NEW KPI” button
Note: KPI direction, weight, and frequency can not be changed after the KPI is approved and reported on. Approve KPI **
  • Click on “Change Team” drop list in top-left corner and select the desired team
  • Check “KPIs” radio button in top-left corner (next to Kippy)
  • Click on “Maintain” icon at the bottom of left bar
  • Click on “EDIT KPI” button
  • Check “KPI Approval Status” box
  • Click on “SAVE KPI” button
Rename KPI *
  • Click on “Settings” icon in top-right corner (next to logout icon)
  • Click on “KPIs” tab
  • Go to “Rename KPI” section
  • Select KPI from the list to rename
  • Enter new KPI name
  • Click on “RENAME KPI” button
Edit KPI
  • Click on “Change Team” drop list in top-left corner and select the desired team
  • Check “KPIs” radio button in top-left corner (next to Kippy)
  • Click on “Maintain” icon at the bottom of left bar
  • Click on “EDIT KPI” button
  • Enter KPI new information
  • Click on “SAVE KPI” button

Delete KPI *

  • Go to “Delete KPI” section
  • Select KPI from the list to delete
  • Click on “DELETE KPI” button
  • Click on “DELETE” button (to confirm)

  • Click on “KPIs” tab
  • Go down to “Move KPI” section

  • Click on “Change Team” drop list in top-left corner and select the desired team
  • Check “KPIs” radio button in top-left corner (next to Kippy)
  • Click on “Maintain” icon at the bottom of left bar
  • Click on “EDIT KPI” button
  • Enter KPI actuals for the right period
  • Click on “SAVE KPI” button
OR
  • Click on “Change Team” drop list in top-left corner and select the desired team
  • Select desired “Reporting Period” and “Reporting Year” located in top-right corner
  • Check “KPIs” radio button in top-left corner (next to Kippy)
  • Click on “Scorecard” icon in the left bar
  • Enter KPI actuals - (NB only the KPIs you can enter actuals for, will have the actuals box enabled - for example, only the KPI's for which you are the KPI owner )
Click Save Actuals. Add KPI note
  • Click on “Change Team” drop list in top-left corner and select the desired team
  • Select desired “Reporting Period” and “Reporting Year” located in top-right corner
  • Check “KPI” radio button in top-left corner (next to Kippy)
  • Click on “Details” icon in the left bar
  • Add your note in the lower left box called “New Note for MMM YYYY” (make sure it is for the right period)
  • Click on the envelop blue bar under the note to add the note (it should show up in the upper box)




How to Maintain Projects & Milestones


Add Project

  • Click on “Change Team” drop list in top-left corner and select the desired team
  • Check “Projects” radio button in top-left corner (next to Kippy)
  • Click on “Maintain” icon at the bottom of left bar
  • Click on “CREATE NEW PROJECT” button
  • Select the following fields:
    • Objective for this project (Team objectives list)
    • Owner (Team members list)
    • Weight (1x,2x,3x)
  • Enter project name, sponsor, start date, end date, total budget, total spent, programme, description, risk, and mitigation
  • Add milestone details and select the following fields:
    • Owner (Team members list)
    • Weight (1x,2x,3x)
  • Enter milestone name, milestone start date, milestone end date, milestone description
  • Enter milestone targets (planned progress 0-100%)
  • To add additional milestone Click on “ADD MILESTONE” button (and repeat steps 6,7, and 8)
Note: project and milestone weight can not be changed after the project is approved and reported on. Approve project **
  • Click on “Change Team” drop list in top-left corner and select the desired team
  • Check “Projects” radio button in top-left corner (next to Kippy)
  • Click on “Maintain” icon at the bottom of left bar
  • Click on “EDIT PROJECT” button
  • Check “Project Approval Status” box
  • Click on “SAVE PROJECT” button
Rename project *
  • Click on “Settings” icon in top-right corner (next to logout icon)
  • Click on “Projects” tab
  • Go to “Rename Project” section
  • Select Project from the list to rename
  • Enter new Project name
  • Click on “RENAME PROJECT” button
Edit project
  • Click on “Change Team” drop list in top-left corner and select the desired team
  • Check “Projects” radio button in top-left corner (next to Kippy)
  • Click on “Maintain” icon at the bottom of left bar
  • Click on “EDIT PROJECT” button
  • Enter Project new information
  • Click on “SAVE PROJECT” button
Note: Project weight and milestone weight can not be changed after the project is approved and reported on. Edit project relative number *

System will save automatically after 5 seconds Add project note
  • Click on “Change Team” drop list in top-left corner and select the desired team
  • Select desired “Reporting Period” and “Reporting Year” located in top-right corner
  • Check “Projects” radio button in top-left corner (next to Kippy)
  • Click on “Details” icon in the left bar
  • Add your note in the lower left box called “New Note for MMM YYYY” (make sure it is for the right period)
  • Click on the envelop blue bar under the note to add the note (it should show up in the upper box)




How to Monitor Team Performance


See team KPIs

  • Click on “Change Team” drop list in top-left corner and select the desired team
  • Select desired “Reporting Period” and “Reporting Year” located in top-right corner
  • Check “KPIs” radio button in top-left corner (next to Kippy)
  • Click on “Wheel” icon in the left bar (double click on KPI square for more details), OR
  • Click on “Dashboard” icon in the left bar (double click on KPI name for more details), OR
  • Click on “Scorecard” icon in the left bar (click “+” or “-“ sign to see more/less KPIs), OR
  • Click on “Details” icon in the left bar
  • Select the KPI from the list (1st field on top) or use up/down arrow
  • Click on the bottom/right flipper (2 arrows) of the LEFT section to see KPI description and formula
  • Click on the bottom/right flipper (2 arrows) of the RIGHT section to see KPI historical audit trail
  • Click on the bottom/right flipper (2 arrows) of the graph to see KPI historical yearly data
Drill down KPIs for one parent objective
  • Click on “Change Team” drop list in top-left corner and select the desired team
  • Click on “Drill Down” icon in left top corner
  • Check “KPIs” radio button in top-left corner (next to Kippy)
  • Select desired “Reporting Period” and “Reporting Year” located in top-right corner
  • Select desired objective from the top drop down list (or use up and down blue arrows)
  • Review objective/KPIs details of the team and all aligned objectives/KPIs from all direct-report teams
See common KPIs
  • Click on common KPIs icon in the left bar (2 arrows)
  • Click on “+” or “-“ sign to see more/less common KPIs
Note: KPIs with “same exact name” in all teams will be displayed Print KPI detailed scorecard

  • Click on “Change Team” drop list in top-left corner and select the desired team
  • Select desired “Reporting Period” and “Reporting Year” located in top-right corner
  • Check “KPIs” radio button in top-left corner (next to Kippy)
  • Click on Executive Summary icon in the left bar (top icon)
  • See Vision, mission, values, KPI performance summary (by perspective and objective)
  • Click on “CHANGE QUALITATIVE DATA” button to add information to the following fields:
    • Key Achievements
    • Key Challenges & Risks
    • Outstanding Items
    • Required Decisions & Support
  • Click on “SAVE” button
See team projects
  • Click on “Change Team” drop list in top-left corner and select the desired team
  • Select desired “Reporting Period” and “Reporting Year” located in top-right corner

  • Click on “Change Team” drop list in top-left corner and select the desired team

  • Click on “Print” icon in top-right corner (next to logout icon)
  • See Vision, mission, values, Projects and milestones detailed scorecard (with all their details)
  • Click on “Print” in your browser menu, review the page and print.
See/edit projects executive summary
  • Click on “Change Team” drop list in top-left corner and select the desired team
  • Select desired “Reporting Period” and “Reporting Year” located in top-right corner
  • Check “Projects” radio button in top-left corner (next to Kippy)
  • Click on Executive Summary icon in the left bar (top icon)
  • See Vision, mission, values, projects progress summary (by project and milestone)
Analyze Trend
  • Click on “Change Team” drop list in top-left corner and select the desired team
  • Select desired “Reporting Period” and “Reporting Year” located in top-right corner
  • Select KPIs or objectives for “Horizontal axis” and “Vertical axis” to compare their trends and scores

How to Manage Individual Performance


Complete Individual Performance Appraisal **

  • Click on “Change Team” drop list in top-left corner and select the desired team
  • Click on the Individual Performance icon in the right bar (4th icon under picture)
  • Select one person for the drop-down list “Team | Role | Appraisee”
  • Select the appropriate ranking for each competency; 1. Unsatisfactory (60%) ; 2. Needs Improvements (80%); 3. Meet Expectations (100%); 4. Exceeded Expectations (120%); 5. Exceptional (140%)
  • Click on “SAVE COMPETENCY”
Notes:
  • The competency score will be visible after completing and saving all required competencies.
  • Total # of owned KPIs , missed (not reported) KPIs, and average score for all KPIs will be shown.
  • Total # of managed projects , missed (not reported) projects, and average progress variance for all projects will be shown.
  • Total # of owned milestones , missed (not reported) milestones, and average progress variance for all milestones will be shown.
  • The appraisee’s average team score and average project progress variance will be shown for benchmarking and comparison reasons
  • All KPIs, projects, and milestones that this individual own/managed will be automatically shown in the lower graphical sections.
  • The total score for the individual will be shown next to his email in the drop-down list “Team | Role | Appraisee”
Managing Competencies Kippy comes pre-configured with industry-standard organisation-wide competencies. However, these can also be maintained by a System Owner. Add competency
  • Click on “Settings” icon in top-right corner (next to logout icon)
  • Click on “Competency” tab
  • Go down to “Add Competency” section
  • Enter name, description, manager weight, and user weight
  • Click on “ADD COMPETENCY” button
Note: All managers, admin, and users will automatically have this new competency on their Individual Performance Summary screens Rename competency
  • Click on “Settings” icon in top-right corner (next to logout icon)
  • Click on “Competency” tab
  • Go down to “Rename Competency” section
  • Click on the desired competency to rename
  • Enter new Competency name
  • Click on “RENAME COMPETENCY” button
Note: All managers, admin, and users will automatically have this renamed competency on their Individual Performance Summary screens Edit competency description
  • Click on “Settings” icon in top-right corner (next to logout icon)
  • Click on “Competency” tab
  • Go down to “Edit Competency” section
  • Click on the desired competency to edit
  • Click on “EDIT COMPETENCY” button
  • Enter revised description, manager weight, and user weight
  • Click on “SAVE” button
Note: All managers, admin, and users will automatically have this renamed competency on their Individual Performance Summary screens Delete competency
  • Click on “Settings” icon in top-right corner (next to logout icon)
  • Click on “Competency” tab
  • Go down to “Delete Competency” section
  • Click on the desired competency to delete
  • Click on “DELETE” button
  • Click on “CONFIRM” button
Warning: Deleting a perspective will delete all users related components (i.e. all appraisals for this competency)
